Installation, Licensing & Technical Guide

A detailed guide to installing FilesStayLocal, managing access, updating License Keys, understanding local processing and troubleshooting common setup issues.

System requirements

Use the production FilesStayLocal desktop package offered on the Software page for your operating system. The release page should be treated as the authoritative source for currently supported platform builds.

Keep enough free disk space for the source documents plus generated Excel/PDF output. Some batch tools can create multiple output files.

Installing FilesStayLocal on Mac OS / Windows

  1. Open the FilesStayLocal website.
  2. Choose Software.
  3. Download the signed package for Mac OS / Windows.
  4. Run the installer or open the packaged application as appropriate for your platform.
  5. Launch FilesStayLocal.
  6. Paste your License Key when prompted or choose Update License Key.

macOS Gatekeeper & notarization

Production macOS releases are Developer ID signed and pass through Apple notarization before distribution. This allows macOS Gatekeeper to verify the identified developer and notarization status of the distributed application.

Download FilesStayLocal only from the official Software page. Download only the current signed production release from the official FilesStayLocal Software page.

Windows publisher & code signing

Production Windows releases are code-signed and timestamped so Windows can verify the publisher and integrity of the distributed installer/application.

Use the Windows package supplied by the FilesStayLocal Software page rather than copies from unknown locations.

First launch

  1. Open the FilesStayLocal desktop app.
  2. If no valid license is installed, the app displays limited/no Product access.
  3. Copy your latest License Key from your FilesStayLocal account.
  4. Choose Update License Key in the desktop app.
  5. Paste the key and activate it.
  6. Your licensed Product appears under My Products.

Creating a FilesStayLocal account

  1. Choose a Product on the FilesStayLocal website.
  2. Create your account using the requested account information.
  3. FilesStayLocal assigns an Account ID.
  4. A signed License Key is issued for your current Product access.
  5. Keep the Account ID for future account-management tasks.

Account ID vs License Key

Account ID: your persistent FilesStayLocal customer/account reference.

License Key: a signed representation of your current Product entitlement and access period.

Your Account ID normally stays the same when Products change. A new License Key may be issued because your entitlement changed.

Copying a License Key

  1. Open your FilesStayLocal account page.
  2. Locate the current/latest License Key.
  3. Choose Copy License Key.
  4. Open FilesStayLocal on your computer.
  5. Paste the complete key into the license-update screen.

Update License Key

Important: Always use the latest License Key after your Product access changes.
  1. Open FilesStayLocal.
  2. Choose Update License Key.
  3. Paste the latest key copied from your FilesStayLocal account.
  4. Activate/update access.
  5. Return to My Products and confirm the expected Product is available.

Requesting / adding another Product

  1. Open Manage Account on the FilesStayLocal website.
  2. Choose the Product-access management option.
  3. Select/request the Product you want.
  4. Review the updated access information.
  5. FilesStayLocal issues a new License Key because the Product entitlement changed.
  6. Copy that new key.
  7. Open the desktop app and choose Update License Key.
  8. Paste and activate the new key.

How the new Product appears under My Products

Changing Product access on the website does not by itself update an already-running desktop app. The desktop app must receive the newly issued License Key.

After the latest key is activated, the corresponding licensed Product becomes available under My Products.

Replacing an expired or updated License Key

Renewal or an entitlement change can generate a refreshed License Key while preserving the same Account ID.

  1. Obtain the newest key from the account/renewal page.
  2. Open FilesStayLocal.
  3. Choose Update License Key.
  4. Replace the previous key with the newest key and activate it.

Downloading / reinstalling the desktop app

Use the Software page to obtain the current signed Mac OS or Windows package. Reinstalling the application does not mean you should create a new FilesStayLocal account.

After reinstalling, use your existing account and latest valid License Key to restore licensed Product access.

Updating FilesStayLocal

When a newer production desktop release is offered, download the current signed package from the official Software page and follow the platform installation/update instructions.

Keep your Account ID and latest License Key available. Do not create a replacement account merely because the desktop software was updated.

Where processing occurs

Document processing occurs inside the installed FilesStayLocal desktop application on your computer.

The website is not the PDF/spreadsheet processing engine. Source files are selected from the computer through the desktop app, processed there, and output is written locally.

Output and file-location behaviour

FilesStayLocal Products generate new output files such as XLSX, PDF or ZIP packages depending on the selected Product. The original source should remain unchanged unless a Product explicitly documents otherwise.

Review the destination/output location before processing and verify generated files before relying on them for downstream work.

Troubleshooting installation and activation

  • Confirm you downloaded the correct current platform package from Software.
  • Confirm the application installed/opens successfully.
  • Confirm you copied the complete latest License Key.
  • If Product access changed, do not reuse an older License Key.
  • Choose Update License Key and activate the newest key.
  • Confirm the intended Product appears under My Products.
  • If a file-processing problem occurs, note the Product name and error message.

Tell support which Product you were using, your operating system and the error/message you saw.

Do not paste or attach confidential source-document contents such as bank statements, invoices, receipts or other sensitive working documents unless an explicitly approved secure support process is provided.

Licensing architecture

The License Key represents current signed entitlement. Product changes and renewals can result in a new key while the Account ID remains unchanged.

This is why the desktop app must be updated with the latest key after Product access changes.

Windows: production releases use publisher/code signing and timestamp verification.

macOS: production releases use Developer ID signing and Apple notarization before customer distribution.

Privacy boundary

FilesStayLocal is designed so normal processing of working PDFs, spreadsheets, invoices, receipts, statements and similar documents occurs in the desktop application without requiring those source documents to be uploaded to the FilesStayLocal website.

Account/licensing/support information is separate from the working documents processed locally.

Source-file safety

Your original files are not modified. FilesStayLocal reads your selected source files locally and creates separate output files. It does not overwrite, rename, move or delete your originals.

Keep backups of important documents and review generated output before relying on it. Conversion or extraction may require review for unusual layouts, damaged files, unsupported structures, scanned/image-only material or ambiguous data.

FilesStayLocal is a document-processing productivity tool. Generated output is not a substitute for professional legal, tax, accounting, medical or financial advice where such advice is required.
